Part 1. Understanding Management Systems in Organisations
A management system describes the systematic approach an organisation uses to complete its tasks. For instance, whether reminders are managed through an electronic scheduling application or old school paper calendar, each method reflects a distinct part of the management system. The complexity of a management system is determined by the organisation’s objectives and the value derived from achieving these targets.
From an organisational standpoint, a management system involves designing, implementing, and overseeing a coherent structure of interrelated policies, processes, and procedures to facilitate the completion of activities essential to achieving its aims. These systems may focus on specific areas like quality or expand to integrate areas such as health, safety, and the environment. An integrated management system aims to coordinate activities across the organisation by distributing functional responsibilities and establishing consistent core practices. Managing aspects independently is not considered integration.
Every organisation uses a management system, but one approach may not fit all—there is no universal template. Smaller organisations may rely on direct oversight without detailed documentation, while larger ones often require thorough procedures and records to meet regulations and goals.
The degree of formality in management systems distinguishes their implementation. Informal systems rely on communication and adaptability but may lead to disorganisation. Formal systems standardise processes and roles, promoting accountability and consistency.
The complexity and formality of a management system depend on balancing costs with expected benefits. An effective system clarifies expectations, aligns goals with actions, builds customer trust, and provides a risk-management framework. As organisations grow, their systems should adapt. A strong management system is key to lasting success.
